Passports & Visas

A full and valid passport is required for most destinations that we feature for all persons travelling (including children who now require their own passport). British citizens require a full British passport. For visa requirements for the destinations we feature as applicable to British citizens holding a full British passport see below. Requirements may change and you must check the up to date position in good time before departure. A full British passport presently takes approximately 2 to 6 weeks to obtain. If anyone travelling is 16 or over and hasn't yet got a passport, they should apply for one at least 6 weeks before travel as the UK Passport Service has to confirm your identity before issuing your first passport and will ask you to attend an interview in order to do this. If you or any member of your party is not a British citizen or holds a non British passport, you must check passport and visa requirements with the Embassy or Consulate of the country(ies) to or through which you are intending to travel before booking. Most countries require that passports are valid for at least six months after the departure from their country. For countries requiring visas, there should be at least one blank page in the passport to facilitate the visa stamp. Please note that some countries may require two blank pages for entry and departure visas. Some countries require you to be in possession of a return ticket or exit ticket and have sufficient funds, etc. Similarly, certain countries require that the passenger produces evidence of insurance/repatriation cover before it will issue a visa.

For travel to and via the USA and US Virgin Islands, every person travelling (including children) must have a visa unless they qualify for the Visa Waiver Program (VWP). Most British citizens travelling on holiday will qualify for the VWP but please see the important note below. All visitors who are eligible for the VWP must now apply for authorisation to travel to the US in advance in accordance with the Electronic System for Travel Authorization (ESTA). You must complete an online application for authorization to travel on the ESTA website (details below) at least 72 hours before your flight to the US departs but you are recommended to apply earlier. Providing the application is accepted, you will be provided with approval via the website. Approval is usually provided very quickly but can take up to 72 hours if data needs to be checked. You should make a note of the ESTA approval number when you receive it.

It is your responsibility to obtain ESTA approval or a US visa if required. If you fail to obtain authorization to travel through the ESTA website or a US visa in advance of travel, you will not be allowed on your outbound flight to the US. Full cancellation charges will then apply.

Important note: Not all British visitors to the USA will qualify for the Visa Waiver Program. You cannot apply for the VWP and will require a visa if you do not have a machine readable passport. All new style, burgundy coloured UK passports are machine readable. You will also need to apply for a visa if you have ever been arrested (even if you were not convicted of an offence) or have a criminal record of any description. Other exemptions also apply. If you are in any doubt as to whether you may require a visa, please contact the US Embassy, Consular Information Unit, 24 Grosvenor Square, London W1A 1AE or visit the website www.usembassy.org.uk before making your booking. Further information on entry requirements for the USA is available at http://travel.state.gov. You must check entry requirements at the time of booking and in good time before departure as requirements may change.

Single parents and adults who are not a child’s parents (including grandparents) travelling with children without their parents should be aware that some countries require documentary evidence of parental responsibility or permission before allowing lone parents / other accompanying non parent adults to enter the country or, in some cases, before permitting the children to leave the country. VPG will not accept bookings for any unaccompanied children. VPG cannot be held liable in the event that, despite this restriction, an unaccompanied minor is booked for a holiday without its knowledge.

You must carefully observe all applicable formalities and ensure that the surnames and forenames used for all passengers, when making a booking and appearing in your travel documents (booking forms, travel tickets, vouchers, etc.), correspond exactly with those appearing on your passport, visas, etc.

Further information on entry requirements can be obtained from the Foreign Office website or directly from the country's website. We recommend that you check this before booking and also shortly before departure as requirements may change.

Health requirements

You must ensure that you have complied with any health requirements such as vaccinations for any country you may be visiting as these requirements do change. Therefore, you should consult your doctor at your earliest opportunity or contact the Department of Health and obtain a copy of their free “Health Advice for Travellers” information booklet by telephone on 0870 155 5455 or via its website www.dh.gov.uk. For holidays in the EU / EEA you should obtain an EHIC (European Health Insurance Card) prior to departure from the Department of Health. If you have a pre-existing or current medical condition of any kind or if you are pregnant, then you must get clearance to travel from your own doctor. Please also check the terms of your travel insurance policy. Pregnant women are not accepted by most airlines after 28 weeks of gestation.

It is your responsibility to ensure that you hold the correct, valid documents for the country(ies) you are visiting and have obtained the necessary vaccinations, clearance to travel, and hold confirmation of medication requirements as we cannot be held liable for any illness, delays, compensation, claims and costs resulting from your failure to meet these requirements. Further, we cannot accept responsibility if you are refused passage on any airline, transport or entry into any country due to the failure on your part to carry the correct documentation. If failure to do so results in fines, surcharges, claims, financial demands or other financial penalties being imposed on us, you will be responsible for indemnifying and reimbursing us accordingly.

BOOKING PROCESS

Before

You will receive emails inviting you to view upcoming sales. The date and time of each sale is shown in the invitation email. Preview brochures give you an overview of the offer, destination and accommodation.

You can also go straight to the site to view sales currently in progress as well as those sales that are coming soon.

If you are looking for a specific destination, type of holiday or departure date, the new filters on the left hand side of the page offer you the chance to refine your search.

During

If you sign up to a sale, voyageprive.com will send you a reminder email when the sale is about to start. However, we suggest you log on as soon as the sale starts.

How to access a flash sale:

  • Go to voyageprive.com
  • Log in (using your email address and password)
  • On the home page, click on ‘View offer details’ to see the offer description, pictures and prices.
  • Fill in the necessary fields, e.g. departure date, party size
  • Click on ‘Continue’ to see optional extras and your quotation
  • Complete your booking online

After

Once you’ve made your booking, you will receive an email from voyageprive.com summarising the following details:

  • Your booking
  • Your payment
  • Your vouchers
  • Your invoice


You can also print your vouchers.

How do I get my voucher?

Having made your booking, voyageprive.com will send you an email which includes the following:

  • Your booking summary
  • Your voucher
  • Your invoice

You can open your voucher from the email and print it.

Alternatively, you can get your voucher and invoice by clicking on your name in the top right-hand corner of the page.


Can I make a booking once a sale has closed?

No. Once the sale has closed, no further bookings can be made. Sales normally last 5 days.

When is my booking confirmed?

All offers shown on the site are available. Your booking is confirmed once you receive a confirmation email, sent once payment has been successfully received.

How can I cancel or amend my booking?

If you want to cancel your booking, please contact Customer Services via the link at the foot of the page, or by clicking on your name in the top right-hand corner of the screen. You should also read our Terms & Conditions.

Please note, notice of cancellation must be made in writing by email or fax to us or confirmed with a registered letter which should be signed for. Please refer to our Terms & Conditions for the scale of applicable charges.

My account

Simply click on your name in the top right-hand corner of the screen, then ‘My Account’.

Are my personal details confidential?

We need to collect information about you to deal with your booking as smoothly as possible. This information may include such details as your name, your address and your credit card details. All personal information is stored in secure databases at secure addresses to prevent unauthorised access. By disclosing your personal information to us using this website or over the telephone, you consent to the collection, storage and processing of your personal information by voyageprive.com as stated in our Privacy Policy. You can amend your personal details by visiting ‘My account’.

How do I use my travel vouchers?

Once you’ve chosen your holiday, your booking will be summarised in the form of a quotation. At this stage, you can use your vouchers which will be deducted from the total holiday price.

How long are my vouchers valid for?

Your vouchers are valid for use on the site for 1 year. You may redeem multiple vouchers at a time. You can check your vouchers whenever you likeby clicking your name in the top right-hand corner then selecting ‘My vouchers’.

How do I stop receiving sale emails?

If you no longer wish to receive sale emails from voyageprive.com, just click on the “My Account” link found at the foot of every email or your name in the top right hand corner of the website. Under “My Subscriptions” you are able to register which emails you receive.

THE SALES PROCESS

How do sales work?

Each week you will receive emails with the details of present and upcoming sales. The dates and time for each sale will be included in the message. If any offers are of interest, you can sign up for a reminder directly on www.voyageprive.com by clicking the "Send me a reminder" button.
When can I see prices?

Prices are only displayed on the site once the sale has opened. Click on 'View offer details' and you can see the prices and further information on the offer.
If I have signed up for a sale am I obliged to make a booking?

Subscribing to a sale allows you to view and explore our chosen offers, but without any obligation to buy.
How do I know what's going to be on sale next?

Our weekly email newsletters include both current offers as well as a selection of trips which are coming soon. Sign up for a sale reminder so you don't miss it!

Payment

Can I pay a deposit?

Deposits are available for holidays with a value of £1,400 or more as long as you are booking more than 120 days in advance and holidays of £2,500 or more if you are booking more than 35 days in advance. A deposit of 30% of the total value of the holiday is payable at the time of booking. On occasion, higher deposits may be required and you will be advised of any additional deposits relevant to your holiday at the time of booking.

Deposits are non-refundable. This payment facility is available for most of our holidays with the exception of our ‘dynamic packages’. Where we do offer the facility to pay a deposit on a holiday the option will appear in the booking process.

The remaining balance of your travel arrangements must be paid at least 30 days before your departure date. You will receive a reminder email about 35 days before your departure advising you how this can be paid. Please also ensure you make your payment in sufficient time otherwise your booking may be cancelled, and you will be liable to pay cancellation charges as shown in our Terms and Conditions (11).

I would like to pay over the phone. How can I contact you?

What should I do if my payment is refused?

In the first instance, we recommend you contact your bank or card issuer to check your credit limit. For any other payment issues, please contact our team on 08444 991 444 and we would be happy to process your booking for you.

When will my account be debited?

Once your booking has been received, your account will be debited the same night.

Is my online payment secure?

As soon as you make a booking, you will be viewing secure website pages. Our secure server software encrypts your credit/debit card information so your transactions are private and protected as they travel over the Internet. A secure server means that using a credit/debit card on the internet is safer than giving out your card details over the phone. Any personal details entered including credit/debit card payments will automatically be encrypted using Secure Socket Layer (SSL). A padlock symbol at the bottom of your screen indicates that you are in a secure area, as does the beginning of the page address changing from http:// to https://. Your credit/debit card number is passed through to our payment provider for validation and debit via our booking system. Once you enter your credit/debit number it is encrypted so that nobody else can read it, and is not printed out or displayed on any other computer. Our providers at Bibit will process your credit/debit card payment. If you do have a problem, despite the above security measures, your card issuer and voyageprive.com will assist you as necessary.

Invite friends

How do I invite friends to join voyageprive.com?

Visit the ‘Invite friends’ page where there are several ways to invite friends. Alternatively, click the 'Share these offers' or 'Refer your friends & earn travel credit' links found at the footer of our emails.

Is there a limit to the number of people I can invite?

No. You can invite as many people as you like. You can invite them simply by entering their email address(es) on the 'Invite friends' page. They will then receive an invitation to join voyageprive.com from you.

How do I earn travel vouchers?

You will receive a £10 travel voucher for each friend you invite when they make their first booking. Remember that voyageprive.com is a club dedicated to providing exceptional travel experiences at exclusive prices.

Remember to register to our Facebook & Twitter accounts to earn travel vouchers through competitions and quizzes.

How long are travel vouchers valid for?

Travel vouchers are valid for 1 year.

Can I use more than one voucher per booking?

Yes! You can use as many vouchers as you like when booking.

Why haven't I received my travel vouchers, having invited someone to join?

If you haven't received your vouchers, please visit the 'Contact us' page and we will deal with your enquiry without delay.

How will I know if someone I have invited has made a booking?

We will email you when one of your friends makes their first booking with voyageprive.com. You will then be entitled to a £10 travel voucher.

What is the baggage allowance for my trip?

Your luggage is carried free as long as you are within the limits shown on your ticket. The allowance varies depending on airline, cabin class and destination. We strongly recommend you contact your airline before travelling to check the allowances. 

Please note that some airlines do not include luggage in the flight cost, in these instances a third step in the 'Quotation Page' of the booking process will appear titled ‘Check in bags’ in this section you are able to select how many pieces of checked-in luggage you wish to take. The number of bags indicated is for the entire party travelling.

- Scheduled flights :

The allowance is generally 20kgs in economy (30kgs in first class) for domestic and European flights. For longhaul destinations, the allowance may increase to 40kgs in first/business class and up to 30kgs in economy, depending on the fare and destination.

- Scheduled flights to the USA and Canada :

The allowance is determined by the number of bags checked in. If you exceed two pieces of hold luggage (weighing no more than 23kgs each and with combined dimensions not exceeding 158cm and 140cm for the 1st and 2nd bags), passengers will be required to pay an excess baggage charge for each extra bag or if bags exceed these dimensions. 

- Charter flights :

The allowance is generally 15kgs on shorthaul routes and 20 – 25kgs on longhaul routes. Please note: On top of your allowance, certain airlines will carry additional items in the hold at no extra charge, e.g. skis, wheelchairs, children’s bicycles. An infant travelling for free or with a reduction is entitled to an allowance of 10kgs on scheduled flights (one bag with maximum total dimensions not exceeding 115cm and a folding pushchair for scheduled flights to/from the USA/Canada). In practice, most carriers will accept a pushchair without charge.
